THE CHALLENGE

The Administrative Assistant will support the Manager, Board & Executive Offices, and as such, the qualified candidate will be an expert at managing a variety of responsibilities and competing priorities. Our Leadership Team provides expertise and services while collaborating with stakeholders across multiple business units and are involved in many areas of our unique business – airports. WHAT YOU WILL DO
Reporting to the Manager, Board & Executive Offices the overall responsibility of this position is to provide administrative support to the Executive Support Team. If you are a professional, energetic and team-oriented individual who likes to take ownership and is driven by providing superior support then this is the role for you.

Key responsibilities include:

  • Manage administrative tasks and projects of a highly confidential nature requiring independent and absolute discretion.
  • Organize travel, accommodation and event registration arrangements.
  • Event planning, organizing event invitations, liaising with suppliers, and attending events to ensure a smooth operation.
  • Boardroom bookings, receive and manage booking requests.
  • Mail/Courier Shipments, oversee and maintain mail, including tracking ensuring deliveries to employees.
  • Liaising with Supply Chain for ordering office supplies and any required items.
  • Financial tracking of department expenses, reconciling monthly statements and ensuring reports and receipts are submitted for payment in a timely manner.
  • Custodian of corporate credit card ensuring its use is limited to purposes authorized by The Authority.
  • Submit monthly VISA expenses and expense claims.
  • Create and proofread professional presentations.
  • Assist in content design for presentations, invitations, etc.
  • Compile research for business trips, events, and undertakings.
  • Designing processes to improve office efficiency.
  • Book meetings, attend and take meeting minutes and action lists, coordinate regarding the follow up of action items.
  • Assist in special projects in support of departmental goals.
  • Act as main point of contact for guests and external partners.
  • Supply ordering for all offices.
  • Provide back-up support to Manager, Board & Executive Offices, supporting the Board of Directors and the Executive Leadership Team, and to the Executive Assistants, supporting the Senior Leadership Team.

WHAT YOU BRING

  • Experience in an administrative assistant role.

  • Ability to respond to and integrate change in order to provide a superior level of support, particularly as needs evolve.
  • A proven ability to plan and organize yourself and others. You will be constantly ‘one step ahead’.
  • A flexible and team-focused attitude and a willingness to take on different tasks or work occasional overtime if required.
  • Proven ability to maintain confidential information and discern what can and cannot be shared with others.
  • Excellent computer skills with expert proficiency with MS Office programs including Outlook, Word, Excel and PowerPoint. Demonstrated ability to utilize computer programs to create professional reports and documents.
  • High attention to detail.
  • Excellent interpersonal skills with an ability to maintain solid working relationships.
  • Demonstrated strong professional communication skills, both written and verbal.
  • Confident dealing in high level situations with exposure to sensitive information, requiring considerable diplomacy, discretion and good judgment.
  • Must be able to obtain and maintain a Restricted Area Identification Card (RAIC).
