Administrative Coordinator, Mail & Print Services

The Opportunity

We are looking for a motivated, enthusiastic individual who is reliable, approachable, and has strong customer service skills to fill the permanent, part time position (2 days a week) of Administrative Coordinator, Mail & Print Services in our Calgary office.

This role coordinates and manages mail services for the Calgary Head Office and supports AER offices across the province with services such as print service requests, stationary requests and inventory, as well as coordinating the shipping and receiving of large items. This role is accountable for excellent customer service in representing the team and organization to internal and external stakeholders.

Your Key Responsibilities:

  • Responsible for providing front line support by responding to mail service requests with a commitment to exceptional customer service focusing on quality control while adhering to processes.
  • Lead the operations and maintenance of the Calgary Head Office mailroom functions. Including incoming and outgoing time sensitive and confidential mail, delivery, courier services, registered mails, government couriers, offering solutions to provide the best services for the lowest costs.
  • Provide support to Printing Services, though operating a variety of printer devices, as well as bindery and finishing equipment including paper cutter, drill, laminator, Cerlox punch, paper padders, heavy-duty stitcher. Fulfilling print requests and responding to printer device and related services requests.
  • Liaise with other groups within the organization to ensure documents and items are received and delivered in a timely fashion.
  • Provides support in replenishing supplies and disposing of consumables in an environmentally responsible manner.

Qualifications:

  • 1 year of experience within an office environment including mailroom & printing services experience.
  • Previous experience in a corporate office setting is an asset.
  • Excellent Administration skills, for example, you will be required to track and update Excel spreadsheets.
  • Enjoy being part of a personable, flexible, and professional team.
  • Proactive, efficient, reliable, approachable, and flexible to meet the demands of the departmental needs, multi-tasking as required.

Additional Requirements and Information:

  • All applicants must be legally entitled to work in Canada at the time of application.
  • Pre-placement Medical required.
  • Required physical demands: must be able to lift over 50 lbs.
