Position Summary
The Administrative Support Officer performs a range of administrative support services for the Advanced Manufacturing and Automation Technology (AMAT) Department within the School of Engineering and Applied Science (SETAS). The incumbent will report to the Department Chair and will provide administrative support and coordination to school functions/projects; coordinating activities, responding to and taking action on student inquiries, and identifying areas for improvement in the department.

The ideal candidate will bring strong organization, time management and attention to detail skills.

Responsibilities

  • Provides administrative support to the SETAS/AMAT programs; including but not limited to assisting with writing of proposals, monitoring and recording expenditures, and liasing with partner organizations for collaboration and trainings
  • Provides support in the launching of new SETAS/AMAT programs; collaborating and coordinating with all stakeholders on activities including marketing material, curriculum development, facilitating procurement of capital equipment, tracking for purchase orders and meeting the budget.
  • Plans, organizes, and manages logistical arrangements related to current ongoing projects
  • Schedules, arranges and coordinates the administration of specific programs and training activities
  • Responds to inquiries relating to projects/functions, identifies contentious issues, investigates and analyzes
  • information and resolves routine problems with support of the Chair
  • Liaises with faculty, staff and students/clients regarding operational issues according to college policies/ practices
  • Provides direction to other staff and outside services relating to the incumbent's functions/projects
  • Monitors program/function budget expenditures according to the college's financial guidelines; prepares financial forecasts and budgets; compiles various financial and statistical data and reports
  • Analyses statistical information and maintains project records
  • Applies ministry and college policies, procedures and guidelines
  • Maintains a project database including filing and on-line audit tracking systems
  • Develops/recommends and implements administrative procedures for improvement of administrative systems
  • Performs other duties as assigned.

 

Qualifications/Experience

  • Minimum 2 year community college diploma in a business applications program or an equivalent combination of education and experience is required
  • Minimum 2 years of related administrative experience is required, including experience supporting operations of a fast-paced, high volume environment. Administrative experience in a post-secondary environment preferred
  • Demonstrated experience with Microsoft Word and Excel
  • Excellent communication skills and strong relationship building skills
  • Ability to work with a diverse client group and provide excellent customer service
  • Demonstrated experience with computerized software/hardware combined with advanced analytical and problem-solving skills to identify and resolve administrative and technical issues
  • Proven attention to detail to prepare/analyze budget information and reconcile financial records
  • Knowledge of college programs and services, academic and organizational structures
