What Are We Looking For?
Under the supervision of the Supervisor Project Relations, the Customer Connections Support Assistant (CCSA) is responsible for the accuracy and quality of records and information flow associated with customer quotes for new services, account reconciliations and processing refunds. This includes working closely with Quotation Analysts, customers, and other departments such as Finance and Accounting to analyze and resolve issues. The CCSA manages information associated with new service quotes in SAP and the Construction Management System (CMS) and is responsible for financial reporting and system updates related to the Construction Advance Database.

 
The CCSA will create, record, and manage the inquiry and quotation status of all new distribution services in the Customer Relations Management (CRM) system, including setting up new requests. This includes assisting the Quotation Analysts with correspondence, customer letters, schedules and contracts associated with new service quotations and the overall quotation/application process. The CCSA will also investigate and resolve problems for CRM requests and assist customers with initial service applications for new and upgraded service to ensure the applications have all required non-technical information.

 
This role will audit and research applicable quote letters to ensure accuracy of customer contribution information and application of appropriate investment levels and set customer reminders in the automated callout system regarding quote letters status. The CCSA will invoice and process new service payments; reporting on the status of payments for customer contributions and advances for new services. The CCSA will also manage Construction Advance processes including: set up new construction advance files from journal voucher, determine and process refunds for newly energized lots/lights, reconciliation of accounts, and create assignment & notation agreements for construction advance company changeovers as required. It is important that the CCSA follow up with customers to review project status or close cancelled or stale-dated requests.

 
The CCSA will be responsible for creating Site ID’s for Site ID Spreadsheets, supporting the Site ID Investigations Team by maintaining customer address changes and revising errors, and working with Accounts Payable to review and resolve stale-dated or returned checks and provide monthly reports from database. This role must create and maintain process documentation, receive and address General Tracking System (GTS) issues as assigned, create service orders in SAP as requested by Quotation Analysts, and manage any special projects and other duties as assigned.

 
What will you bring to the Role?
  • Proficient at data entry with attention to accuracy, speed and data integrity.
  • General understanding of the electric distribution business and relevant legislation/regulations.
  • Ability to determine the accuracy of data based on guidelines, Terms and Conditions, and applicable legislation.
  • Basic knowledge of finance and accounting principles.
  • Must have demonstrated team building and relationship skills and be able to work within a team and independently.
  • Excellent analytical, problem solving, organizational, time management and communication skills.
  • Ability to follow detailed instructions under limited, but available, supervision while still meeting the daily required commitments.
  • Intermediate skills in MS Office (Word, Excel & PowerPoint) with the ability to create and use basic formulas in Excel.

 
Qualifications we are looking for:
  • Completion of a post-secondary diploma with a minimum of two (2) years of experience in a related business role; an equivalent combination of post-secondary education and four (4) years equivalent business experience in a customer service role may be considered.
  • Knowledge of SAP, the Customer Relations Management (CRM) system, and NETViewer is an asset.
  • The successful candidate must possess strong electrical industry knowledge of the retailer enrollment process, Site ID process, and customer issues.
