Position Summary
Centennial College is looking for a flexible self-starter to provide excellent administrative and support services to the Centre for Accessible Learning and Counselling team. You are highly organized and very comfortable with technology in interacting and supporting both staff and students. In this role, you will perform in-person reception and triage duties to a diverse range of students (transactional/prescriptive advising and referral) and clients; provide administrative support to the team including scheduling appointments, meeting support, ordering supplies, filing; as well provide backup invigilating or other duties at various college campuses as needed.

Responsibilities
Administrative support and student service:

  • Serve as a first point of contact for students regarding access services and general inquiries in person, by phone or via email
  • Manage incoming and outgoing paperwork and communications; organize physical and electronic student files
  • Provide data management and administrative support for student database, online booking and record keeping services
  • Support data tracking and reporting mechanisms through compiling service usage metrics; entering and coding data from student satisfaction surveys
  • Organize administrative functions of the office, including ordering supplies, supporting printing, and other shared office supports

Invigilation and testing support:

  • Support students with test booking through the Accessible Testing Online Management System (ATOMS) & organizing testing room scheduling
  • Invigilate accommodated testing as required during peak periods
  • Other duties as required

Qualifications/Experience

  • 2-year diploma or equivalent in Office Administration, Human and Community services, and/or related field
  • Three (3) years progressive administrative experience in a similar and/or related office environment providing relational front-line customer service and information provision in a complex and multi-cultural organization
  • Experience working with students with disabilities and how to provide accommodations to make provision of goods and services accessible preferred
  • Experience responding to those experiencing a mental health crisis and/or escalated states and making appropriate referrals when necessary
  • Proficient with Microsoft Office Suite, electronic scheduling and record keeping software
  • Demonstrated problem solving and decision-making skills with ability to make accurate referrals
  • Experience handling sensitive and confidential issues with the ability to advocate for the needs of an individual who may not understand their obligations with respect to accessibility
  • Experience with data management, including tracking and compiling data from paper files and with electronic databases
  • Proven time management and multi-tasking ability
  • Understanding of equity principles and working with a highly diverse student population
  • Displays strong commitment to customer service
  • Excellent written and oral communication skills
