Who you are
The Project Control Officer (PCO) provides project management, operational, and administrative support to the project team, Project Manager and other project stakeholders. This role will focus on specific deliverables, parts of projects, and/or sub-projects with scheduling, organizing, data gathering, progress updating, recordkeeping, and reporting. The PCO is tasked with the timely collection and/or validation of status information from project managers to support the project/program status reporting. Maintaining the data quality in the ServiceNow PMIS (Project Management Information System) could be a primary responsibility, requiring proactive multitasking and coordination across a diverse set of teams, geographies, time zones, and cultures. The Project Coordinator will make project and portfolio reports presentation-ready to ease the burden on the Project and Program Managers to validate and harmonize communications.
The PCO may also be tasked with collecting and updating projections of project timing and resource allocations for the upcoming 6-month period in order to provide that capacity forecast. This data comes from both PMO leadership (for pending and frozen projects) and project managers (for active projects). Capacity forecasting includes reconciliation of past resource allocations against realized capacity based on input from project managers and project teams. The successful candidate will manage the company’s project and portfolio information technology systems for configuration of software options, curation of data, and preparation/presentation of reporting.
What you bring
o At minimum, a Bachelor’s in Information Technology, Business Administration, or equivalent.
o 2-5 years of experience in supporting IT projects and programs.
o A strong interest in Real Estate related technologies.
o Ability to deliver excellent customer service at all levels for the organization and with external partners.
o Exhibit a high level of professionalism and excellent interpersonal skills.
o Ability to meet deadlines without compromising accuracy, excellent product quality and attention to detail.
o Proficiency with ServiceNow Demand, Project, and Time Sheet modules.
o Proficiency with MS Office including MS Excel.
o Certifications such as CAPM, CSM, PMP, or related certification(s) preferred.
Bonus skills and experience
o Previous experience working within a real estate environment.
o Experience working within a professional services environment.
o Proficiency with Azure DevOps.
What success looks like
Project and Program Delivery
  • Ensure timely reporting on status of existing projects and programs with both the format and content compliant with standards established by the PMO.
  • Support the forecasting of future resource capacity for projects and programs.
  • Support the Project and Program Managers with the delivery and/or maintenance of key project artifacts such as Charters, RAID Log, RACI, Change Request, tracking costs, etc. and take on accountability with their storage and appropriate sharing.
  • Attendance at various steering committee and PMO meetings, along with administrative support for recordkeeping and follow-up with both attendees and non-attendees.
Operational Management
  • Support the ongoing maintenance and enhancements of the ServiceNow PMIS (Project Management Information System).
  • Ensuring the timely entry and updating of data by the various process owners and reporting on deficiencies in data currency to PMO leadership.
  • Validation of project and program level reporting before alerting senior leadership of its availability.
  • Coordination of various events in terms of facility, invitation, equipment, catering, and other logistics that are held in the scope of a project or program.
