How you will contribute as part of the TRCA team:
Under the general guidance and direction of the Senior Property Agent, the Property Coordinator is responsible for the ongoing coordination and support in the management of TRCA owned and managed lands. Specifically, this position provides support in the case of routine or less complex proposal, permission to enter TRCA-owned land, leadership of programs relating to acquisitions and disposals, and the coordination and negotiations of transactions, contracts and land use and management agreements. It also encompasses the management of external consultants including but not limited to legal, survey, appraisal, environmental and construction professionals. The position’s objective is to ensure senior leadership are informed of ongoing negotiations, environmental conditions, and risk relating to projects and provide and appropriate recommendations.

Major Responsibilities:
  • Coordinates legal documents, government submissions and Board reports.
  • Coordinate execution of property related documents by Authority signing officers. Manage and expedite the flow of work for leasing, acquisitions, land sales, easements, encroachment, residential rentals; ensure timely follow-up action. Finalize and file documentation for completed property transactions.
  • Coordinate the Property Team in dealing effectively and promptly with inquiries and requests for information from the public, external partners, internal staff, clients and CEO’s office on Property Team related issues, Board Reports and other correspondence. Process public and other requests from inception to completion, ensuring proper follow up has occurred. This includes inter-disciplinary and cross-organizational coordination.
  • Coordinate workflow and correspondence for Permission to Enter with TRCA staff and external clients. Collect survey documents, insurance certificates, security deposit, rental payments and fees.
  • Organize meetings with internal and external groups related to projects and applications; attend internal and external meetings as requested; create agendas and meeting minutes; distribute all materials to participants in a timely way.
  • Provide timely and value-added support and backup to the Team through review and research of agreements/documents and property issues and concerns via several modes of inquiry including reports, web, personal interviews, literature searches and other vehicles. Summarize this information for use by the Property Services Team as requested.
  • Review, coordinate and create Payment Request for all invoice related to acquisition.
What will you need to succeed:
  • 3 years diploma (Real Estate, Law Clerk or related disciplines)
  • 3-5 years similar role
  • Experience related to Real Estate
  • Valid Ontario Driver’s license
  • Successful completion of a Vulnerable Sector Screening
  • Excellent interpersonal, customer service, public relations, organizational, coordinating, multi-tasking/work prioritization, research, problem solving, typing/formatting skills
  • Computer literacy utilizing Microsoft Office Suite (Access, Excel, PowerPoint, Word), Adobe Acrobat, Lotus Notes, and the Internet
  • Demonstrated ability to work under pressure to meet deadlines and/or peak period workloads that may extend beyond the normal workday
