Overview:

Avison Young is currently seeking an individual to fill an Administrative Coordinator role; we are looking for someone who is reliable, timely and Professional. The successful candidate will need to be able to use proper judgment in planning and prioritizing the workload. The ideal candidate will be responsible for basic reception duties as well as assisting our Graphic Designer with overflow work.

Responsibilities:
  • Types, formats, and produces documents such as proposals, presentations, correspondence, and standard reports.
  • Copies and files all documents.
  • Establishes and maintains record keeping and filing systems; classifies, sorts and files correspondence, records and other documents.
  • Arranges meetings and conferences, schedules appointments, and completes travel or conference arrangements.
  • Perform administrative duties specific to department such as, conducting research on real estate properties, update real estate databases, and preparing collateral materials for quarterly mass mailings.
  • Proficient in online marketing/social media
  • Proficient in InDesign
  • Answer switchboard, screen and forward telephone calls, take messages, and provide information as required.
  • Book and receive couriers
  • Coordinate the booking and set-up of virtual meetings, meeting rooms/training rooms, including meals and refreshments.
  • Maintain the cleanliness of the meeting rooms, kitchen areas, and kitchen equipment (i.e., coffee pots, microwave, refrigerators).
  • Maintaining appropriate stock levels of all supplies (ordering, filing the invoices once delivered, etc.)
  • Prepare large mail distributions
  • Process incoming/outgoing mail
  • Order kitchen supplies and maintain inventory
  • General office duties as assigned including filing, photocopying, serving beverages, etc.
  • Assist with research overflow
  • Assist with graphics overflow
Qualifications:
  • Strong verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Ability to provide essential services to the office in a timely and professional manner.
  • To work efficiently independently or as part of a team.
  • Excellent knowledge of Microsoft office suite (Word, Outlook etc.)
  • Proficient in Adobe Suite
