Who are you?
We are looking for a bright, savvy, passionate Receptionist and Administrative Assistant to join our team.

 

The Role

As the Receptionist and Administrative Assistant, you will primarily be responsible for managing the front reception area at Live Nation headquarters in Toronto. You will be the first face people see when they walk in the door and will make the first impression of Live Nation. Your role will involve preparing boardrooms for daily use, answering and screening phone calls/emails for the office, managing deliveries, and ordering supplies. As an extension of the Support team, you will also help facilitate various office initiatives including assisting with onboarding new employees, coordinating food and beverage for internal events. You will also review and coordinate execution for contracts. This includes ensuring insurance and deposit requirements are completed as needed to support each contract.

 

Essential Duties & Responsibilities:

Reception Management

  • Receive visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
  • Maintain security protocol for visitors
  • Answering, screening and forwarding incoming calls
  • Receive and distribute mail
  • Prepare boardrooms for daily use and reset following each meeting
  • Coordinate and execute food and beverage needs for internal meetings/events
  • Order flowers and gifts for employee life events
  • Manage existing boardroom bookings and assist with any necessary changes
  • Act as point of contact and provide general support for visitors

 

Office Management

  • Process invoices to ensure timely payment and correspond with Accounts Payable to review account statements and overdue invoices
  • Arrange outgoing shipments and set up local couriers
  • Supports the boardroom technical needs
  • Submit and reconcile expense reports for reception float
  • Assist with supply orders for various departments and needs

 

Contract Administration

  • Prepare and coordinate artist and venue deposits
  • Assist with certain Artist Contract Administration
  • Prepare and coordinate insurance requests
  • Work with legal department regarding contracts as required
  • Support completion of vendor contracts as needed and process major label invoices
  • Set up electronic show files

 

Skills & Qualities Desired :

  • Strong knowledge of payroll processes and related reporting requirements
  • Comfort analyzing data, spotting numerical errors and identifying trends
  • Attention to detail
  • Abnormal organization skills and ability to multi-task

  • Experience with Workday preferred

Physical Requirements/Work Environment

Sits for extended periods of time at a computer station or work desk; stands and walks throughout the day; occasionally move about inside the office to access file cabinets, office machinery, etc.; uses hands and fingers to operate computers and office equipment for up to 8 hours each day; lifts up to 10 pounds regularly; exposed to typical office environment conditions and noise levels.
