What You'll Do

As a vital member of our team, our Office Assistant/Receptionist will provide general reception duties and support day-to-day administration at Metrie, essentially ensuring smooth and efficient operation of our office.

Key Relationships: You will report directly to our Executive Assistant to the President and CEO.

Location: Candidates must be able to work in our downtown Vancouver office five days a week

from 8:30am to 5:00pm

Your day-to-day activities will include:

  • Answer and direct phone calls and voicemail
  • Welcome and direct guests
  • Book meeting rooms
  • Sort and distribute/re-direct incoming mail and parcels
  • Handle outgoing mail, courier preparation, and maintaining postage machine
  • Remit invoices and receipts
  • Manage office stationery and supplies
  • Prepare/Follow up of documents for authorization (ink and DocuSign)
  • Admin support for corporate car program
  • Internal communication posts via Teams
  • Maintain building access card log
  • Bentall Centre building management contact
  • Office operations vendor contact (Mill Creek machine servicing, cleaning service)
  • General office housekeeping
  • Assist with events (set up/tear down - in corporate office)
  • Arrange catering orders (occasional food & beverage pick-up)
  • AD HOC duties as assigned

 

Who You Are

We would love to hear from you if you have:

  • Knack for organization, attention to detail and curiosity for learning
  • Effective prioritization and time management skills
  • Strong verbal and written communication skills
  • Friendly, confident, and personable
  • Knowledge of Microsoft Office products (Particularly, Outlook, Teams and Word)
  • Experience with outgoing mail and courier (FedEx & VanCity Courier)
  • Experience with call screening and directing phone calls
  • Comfortable with internal and external interactions
  • Aptitude for working both independently

It would be an added bonus if you have:

  • Experience with Concur, DocuSign and/or Egencia
  • Experience with documenting procedure manuals
